Financial

Note what each customer paid, all at once or in parts, give discounts and see in the Financial tab who still has to pay.

How the money side works

Each order keeps how much has come in and how much is left. When the customer pays, you note it on the order's Receive screen: all at once or in parts. The Financial tab shows who still has to pay and what came in this month.

Receive in parts
Note the deposit on approval and the rest on delivery. The order shows how much is left to receive.
Discount
Lowers the order total. The app shows the total before and after.
Receipt
Attach a photo or a file to the payment if you want to keep it.
Financial tab
How much is left to collect and from whom, the button to send the payment request and what came in this month.

How much is left on each order

On the order, below the Total, you see Left to receive with the open amount. It updates by itself as you note what came in.

  • Nothing received

No payment noted. The whole order total is left to receive.

  • Partly received

Part came in and shows under Already received. The rest is still open.

  • All received

Payments and discount cover the total. Nothing is left.

Receive a payment

For example: the customer leaves a deposit when approving the repair and pays the rest on pickup. Note each amount when it comes in.

Receive on the order

  1. Open the order. It must be Approved, In progress or Completed.
  2. Tap Left to receive, below the Total. On a completed order, the blue button at the top is already Receive $….
  3. Tap Mark as received. The amount comes filled with what is left. If you got only part of it, type how much.
  4. If you want, change the day under When and attach the Receipt.
  5. Tap the ✓. The amount goes to Already received and what is left goes down.

Give a discount

  1. On the order, tap … and Discount. On the Receive screen, it's … › Give a discount.
  2. Type the amount. The app shows the total before and after.
  3. Confirm. The order total goes down by the same amount.

Customer with several open orders

  1. Open the customer (in Customers or in the Financial tab list) and tap Receive.
  2. Check the orders they are paying and tap Mark as received.
  3. Check the amount and tap the ✓. If the amount doesn't cover everything, the oldest orders are paid first. Then you can send the receipt to the customer.

Fix an entry

  1. Under Already received, tap the payment and choose Remove this payment.
  2. To remove every payment on the order at once, tap … › Undo payments and confirm.

What the app won't let you enter

These checks prevent a negative balance and payments on orders the customer hasn't approved yet.

Rules

Quote or Canceled
The Receive screen doesn't take payments. Approve the quote first.
Zero amount
The ✓ only lights up with an amount above zero.
More than what's left
Neither a payment nor a discount can be more than what is left to receive on the order.

The Financial tab

The Financial tab separates what changes with the month from what is true today. At the top is the month, with ‹ › to change it. Received and Sold follow the chosen month. Under Today, To receive and In progress show where things stand now, whatever the month. Tap any value to see the list.

In the … menu

Report has charts, customer, service and product rankings and recent orders, with the Send report as PDF button for your accountant or partner. Other period swaps the month for this week, this year or dates you pick.

Received
All the money that came in during the month, by payment date, including down payments and installments. Tap to see which orders it came from.
Sold
Total of the orders opened in the month, without quotes or canceled orders. Tap to see the orders.
To receive
What is left to receive, from any month: completed jobs, by customer, and open jobs that already have a deposit. Tap a row to receive or open the order.
In progress
The balance of approved and running orders with no payment yet. With the first payment or when the order is completed, it moves to To receive.
Next charge
One customer to charge now. Tap it and choose Send charge or Not now, which leaves that customer out of the suggestion for 30 days. They stay in To receive.

Prices on the order PDF

On the order, tap … › View PDF. The PDF has the services and parts with prices, the discount (if any), the total and what has already been paid.

Technician No No No

A Consultant only sees the orders they created; on those, they see prices and note payments. Discounts: Administrator and Manager only.

FAQ

I noted the wrong amount. How do I fix it?

Under Already received, tap the payment, choose Remove this payment and note the right amount.

How do I collect from someone who owes me?

In the Financial tab, tap Send payment request to …. The customer gets the order link and sees what is left. With Asaas billing turned on, the link also has Pix, boleto and card.

No. Technician and Supervisor don't see prices, payments or the Financial tab.
